Decisions made from the Summer Members' Meeting

First members meeting

Following our Summer Members’ Meeting, members took part in an online vote where they were able to add comments and arguments alongside their votes. Below are the proposals that members unanimously (including those who abstained) agreed on:

A. How do we make decisions

  • A1. By default, decisions are made by all GM SC members. Some decisions will be delegated to the Transition Team or a circle when agreed by members.
  • A2. Any member can suggest something, related to GM SC, for other members to decide on. Those proposals will need to align with GM SC’s vision, mission and red lines. They can be submitted at any time, and if they are shared early enough in advance, they will be reviewed at the next Members’ Meeting,  before being put forward to an online vote. Members are encouraged to keep their proposal concise.
  • A3. The Transition Team will help members, when needed, to shape clear and actionable proposals and prepare supporting info. This includes offering an optional template that members can use to submit proposals.
  • A4. Most of the time, details of proposals will be sent to members in advance of Members’ Meeting. Proposals do not have to be written, they can also be submitted as voice notes or videos. Some proposals may also emerge/be written/co-created collectively during a Members’ Meeting.
  • A5. Members will agree on their stance with others in their organisation and respond with any questions, objections/amendments. If organisations are not able, within their team, to reach an agreement that they can all live with, they will be able to choose to abstain.
  • A6. Each proposal will be discussed in the Members’ Meeting & members will share their recommendations (aligned with our vision, mission, values & red lines). Members will also be able to send their feedback and opinions regarding proposals ahead of Members’ Meeting as comments and on the online platform when they’re voting. A clear process will be used during meetings to gather views so that all people can share recommendations rather than just the loudest and most confident.
  • A7. Proposals will be sent to all members to vote on, with a clear and generous deadline online. Once the minutes have been circulated and approved by members who were at the meeting, and drop-ins have been held for members who couldn’t attend, the Transition Team will set up the online platform, and members will have at least a month to vote. Additional online and in-person drop-ins will be held during that time for members needing support casting their votes.
  • A8. Each organisation gets one vote. (Members are invited to discuss in their organisation, and harvest any insights before they cast their vote).
  • A10. The vote, objections, and comments will be recorded and visible to all members. It’s important for accountability that everything is transparent, and having a space where comments are visible and recorded also allows for discussions, reflections and learning to continue after the Members’ Meeting.
  • A12. Objections and comments may come into the next members meeting as new proposals. This is so that ideas can become clearer and more specific, and to avoid having conflicting decisions in the future.
  • A13. We will regularly review decisions made to check how it is going, the impact, any improvements etc, and bring that back to members’ meetings. (The details of this need to be developed).

B. Which decisions are delegated to who

  • B1. The following decisions will be delegated to the Transition Team: Funding proposals under £1000 / Buying equipment and materials under £1000 / Answering emails that come in to GMSC / Running the website and the social media accounts / Finding 3 available venues to offer / Booking in venue and catering for Members’ Meetings.

C. Self-organising circles in GM SC

  • C1. Each circle will have a name and clear purpose in line with GM SC’s mission, vision and red lines. Circles can be started by 3 different people from 3 different member organisations and do not have a maximum limit of members in them.
  • C2. Each circle commits to bringing an update to each members meeting. This includes members joining or leaving the circle, and can also be “there’s no update”.
  • C3. Each circle will have a WhatsApp group in the GM SC WhatsApp Community, a Google Group, or another form of virtual group. The link to it will be shared so that other members can join.
  • C4. If a circle wants to request resources from the GMSC pot, they will put in a proposal which will go through our decision making process
  • C5. The circle will hear back the result of the decision-making process and any objections/suggestions/feedback. A proposal be updated and reviewed again based on feedback in the meeting
  • C6. The circles can end at any time when there is no longer a need or no longer 3 members from 3 different organisations actively engaged.

D. Structure and prioritisation in Members’ Meetings

  • D2. At least a week before each meeting, any member can propose an item they would like to discuss. Those items need to be in line with GM SC’s mission, vision and red lines.
  • D4. The meeting will start with the highest priority items, as not everyone can stay all day. The afternoon will focus on discussion and idea development.

E. What does it mean to be a member

  • Members must attend at least 2 out of 4 Members’ Meetings each year (in-person or online). Dates will be circulated at least a month in advance of each meeting and members will have the opportunity to fill out a doodle/google form with their availabilities prior to this.

 

Other proposals will need to be reviewed at the next Members’ Meeting to reach unanimity/for everyone to be comfortable enough with them to go along.

This will also include the proposals members did not have time to discuss/develop during the previous Members’ Meeting.
